Student Guidelines for ASL Interpreting and Cart/Captioning Services

Student Responsibilities

  • I am required to notify the Disability Services at accommodations@ocean.edu within 24 hours when dropping any class.
  • Semester class schedules must be finalized and submitted to Disability Services no later than one month prior to the start of classes. Failure to do so may result in a delay of services.
  • I understand it is my responsibility to communicate directly with Disability Services and/or professors regarding scheduling requests, changes and/or class cancellation. Interpreters and/or captioning service are not responsible for notifying Disability Services and/or my professors of scheduling changes.
  • I will notify Disability Services at least 48 hours in advance of a class if I am unable to attend the class for which an interpreter and/or captioning service is scheduled or of a class cancellation. I understand I will notify Disability Services via email at accommodations@ocean.edu.
  • If unforeseen circumstances make it impossible to give the 48-hour notification, I will still notify Disability Services of the absence. If no advance notification is given, I understand that the interpreter and/or captioning service will wait 15 minutes for me to arrive for the class. If I do not arrive within 15 minutes, the interpreter and/or captioning service will leave and report the absence to Disability Services via email at accommodations@ocean.edu.
  • In an emergency when no advance notification can be given, I will notify Disability Services via email accommodations@ocean.edu of the absence within 24 hours after the absence. If I provide no notification for an absence, the absence will be considered an Absence Without Notification.
  • I understand interpreters and/or captioning service are assigned based on their availability by Disability Services. Requests made for specific interpreters and/or captioning service will not be honored.
  • I understand all interpreting and/or captioning service requests for non-classroom activities must be submitted through the online form provided on the Disability Services webpage. Interpreting services for non-classroom activities may include activities such as appointments at the math and writing labs, tutoring, advising, special programs, etc. The form must be submitted 5 business days in advance of the activity. Failure to clearly complete all sections of the online form may result in delay of services. The same notification of non-attendance is required for such an event, as listed above, for a class.
  • Disability Services cannot guarantee any request for interpreters and/or captioning service at a non-classroom activity if the request is submitted less than 5 business days’ notice.
  • After two Absences Without Notification within a semester, interpreter services and/or captioning service will be suspended. To have services reinstated, I must meet with the Assistant Director of Disability Services. Multiple absences without notification may result in referral for Conduct Review.

Office of Disability Services (DS) Responsibilities:

  • OCC will provide reasonable accommodations to students with a documented disability in accordance with Section 504/ADA and the appropriateness of the accommodations at the post-secondary level.
  • Every effort will be made to provide sign language interpreters and/or captioning services for students who request the service, have provided documentation, and engaged in the interactive process (attended meetings, returned calls, answered emails, etc.) with Disability Services.
  • Every effort will be made to provide sign language interpreters and/or captioning service in the method requested by the student (in-person or remote). However, in the event the student has not provided adequate time for the request or in-person options are not available, remote interpreting services, captioning service and/or lecture transcript will be considered as an option to the student. Disability Services will consult with the student to offer alternate, short-term accommodations.
  • The Disability Services will provide interpreting services and/or captioning service for special events outside of the classroom (i.e., math and writing labs, tutoring, workshops, meetings, special events, etc.) when given at least 5 business days’ notice by the student prior to the event date. Disability Services cannot guarantee the service if the request is not made within this timeframe.
  • In the event an interpreter and/or captioning service is not available, Disability Services will consult with the student to offer alternate, short-term accommodations.
  • If the interpreter and/or captioning service does not arrive within 15 minutes of the start of a class or activity, Disability Services should be notified immediately at accommodations@ocean.edu or in person at the Disability Services office. Once notified, Disability Services will consult with the student to offer alternate short-term accommodations and will make every effort to rectify the situation.
  • Complaints concerning interpreting services and/or captioning service should be submitted to Disability Services via email at accommodations@ocean.edu or in person at the Disability Services office, and procedures to resolve the problem will be initiated.
